Job Location: Philadelphia, PA

Position Type: 3-6 months; possibility to extend

Working Schedule: 35 hours (7 hours per day with 1-hour unpaid lunch), with typical hours from 9 AM – 5 PM or 8:30 AM – 4:30 PM

Hourly Rate: $45-$55 per hour (depending on experience)

We are looking for an experienced Temporary Leave of Absence Specialist to join our client’s team. This role involves managing the leave of absence process across multiple states, including New York, New Jersey, and California. The ideal candidate will have a strong understanding of FMLA regulations and experience in coordinating medical forms and leave processes. Attention to detail, excellent organizational skills, and the ability to handle multiple leave cases at once are essential for success in this position.

This position requires strong communication skills and a motivation to learn and adapt to new benefits plans. Previous experience with benefits administration is a plus but not mandatory. The work week is 35 hours (7 hours per day with 1-hour unpaid lunch), with typical hours from 9 AM – 5 PM or 8:30 AM – 4:30 PM. The position offers a hybrid schedule, with in-office work expected on Tuesdays through Thursdays.

Responsibilities:

* Coordinate and administer all U.S. leave of absence requests and workers’ compensation claims.

* Serve as the subject matter expert for leave and workers’ compensation programs, under the guidance of the Sr. Benefits Manager.

* Interpret and administer leave programs in compliance with FMLA and state-specific regulations (e.g., New York, New Jersey, California).

* Manage all aspects of leave cases, including case management, documentation collection, and coordination of return-to-work processes.

* Ensure compliance with HIPAA and Employee Privacy guidelines while organizing and managing medical information.

* Submit all reportable workers’ compensation claims to the vendor within 48 business hours of the incident.

* Track leave hours and provide accurate payroll instructions to ensure correct employee compensation.

* Maintain regular contact with employees on leave to ensure timely submission of required medical documentation.

* Produce and manage reporting metrics and analytics for leave and workers’ compensation cases.

* Collaborate with managers and supervisors on leave and workers’ compensation cases.

* Regularly meet with the Sr. Benefits Manager to review claims status and develop strategies for resolution.

* Administer Long-Term Disability (LTD) programs and coordinate Short-Term Disability (STD) claims with FMLA or general medical cases.

* Monitor accommodation requests and work with facilities to ensure compliance.

* Provide general benefits support as needed.

Qualifications:

* Strong knowledge of leave of absence regulations, especially FMLA, ADA, and state-specific laws.

* Experience managing leave and workers’ compensation claims in a multi-state environment.

* Highly organized with strong attention to detail and the ability to handle multiple tasks simultaneously.

* Excellent communication and customer service skills.

* Ability to collaborate with various teams, including HR, managers, and employees.

* Experience with benefits administration or HR systems is a plus.

* Strong problem-solving abilities and the capacity to work independently.

* Motivated to learn and adapt to new systems and processes.
